The full feature set
Thirty-two features. One promise: know where your time goes.
Everything below ships with BlockWise — no feature bloat, no filler. Each one exists because a real working day needed it. Jump to: Planning · Icons & companies · Accountability · The record · Evidence & analytics · Connections · Everywhere
Plan the day — in advance, always
BlockWise plans forward, never backwards. The plan is a decision you make ahead of time; the day is where you honour it.
Configurable day structure
Set your daily start time, finish time and block length — exactly 15, 20, 25, 30, 45 or 60 minutes — and the grid regenerates instantly. Every weekday can carry its own shape: Mondays 06:00–18:00 in 20s, Fridays 08:00–14:00 in 30s. The reference day that started it all: 05:30–21:30 at 20 minutes — 48 blocks.
Automatic daily template Opens ready
BlockWise opens directly onto today, already generated from your saved template — correct hours, routines placed, calendar appointments anchored. No taps, no set-up ritual. Everything on the page can still be changed, moved or removed in one tap.
The Template sheet — WYSIWYG
Your routine isn't edited in a settings form. It's laid out on a full, identical time-box sheet: drag icons on, stretch spans, move blocks, save. Every future day generates from what you see. Changing a single day never alters the template — and "reset to routine" brings the saved version back.
Time Box + Planner — one day, two views
The Time Box fills the whole page: your schedule is the home screen. The Planner puts the same live day beside your Priority List — one dataset, two views, so an edit in either appears in the other instantly. The list stays pinned beside you as you scroll through the day.
The Priority List — four tiers, paragraph tasks
Tier 1 DO NOW (today, red) · Tier 2 URGENT (this week, amber) · Tier 3 MEDIUM TERM (this month, yellow) · Tier 4 LONG TERM (this quarter, green). Tasks are full paragraphs, never truncated — "Vera finance structuring — complete for international trading" fits fine. Estimates are set in blocks but shown as hours. Unfinished DO NOW items carry to the top of tomorrow, and tasks escalate a tier as deadlines approach.
Drag-to-schedule from the list
Drag a task row straight off the Priority List onto the blocks beside it. The drop carries everything — company, type icon, abbreviated detail, the live two-way link — and fills exactly the task's estimated number of blocks from where you drop it. A well-kept list builds the whole day by drag alone.
Drag-to-fill, drag-to-move, stretch
Drag an icon across consecutive blocks to fill the span. Grab the top of a run to move the whole group; grab the bottom (or any block's grip handle) to stretch or shrink it — the written detail, company and icon travel into every newly covered block. Drags only ever fill empty sections; changing an existing icon is a deliberate click, so nothing is ever wiped by accident.
Calendar navigation — plan indefinitely
Day arrows, a week view for planning the whole week, and a month calendar that pages forward without limit — click any future date and plan it. The past is viewable too: every previous day opens exactly as it ran, so rolling projects and R&D continuity are never lost.
Routines that never trap you
Routine blocks pre-fill from your template as a starting point — and that's all they are. Tap any routine block to change it, move it, shorten it, or remove it entirely and leave the block clear. Some days you just want it empty. The saved template is never touched.
Your icons are the language
No colour codes to memorise, no dropdowns to hunt through. The things you work on — your companies, your kinds of work — become the visual language of your day.
Drop a PNG, get a company
Drag a logo file into the Icons page and BlockWise creates the company automatically — named from the file, icon attached, ready to use. The company's accent colour is picked from the logo itself, checked against every existing company so no two clash. Change it any time.
Blocks with three sections — additive, never destructive
Every block has a company section, a type section and a large detail section with room for 30–40 words. Dragging a company icon fills only the company section; a type icon fills only the type; the detail is yours to write. Setting one never wipes another. Tap the detail and write straight into the box — it expands to hold a paragraph and stays fully readable on the plan.
An icon library that keeps growing
Finance, marketing, R&D, meetings, invoicing, deep work, emails, site visits, school run, gym, breakfast, coffee break, annual leave — plus the manager's world: one-to-ones, staff reviews, training, interviews, team building. Two special icons come built in: Flexible Time (working time that can be reassigned when the day demands it) and Requested Assistance (time planned to help a colleague who asked earlier).
Create your own icons
Name it, pick a mark, done — for the kinds of work we didn't think of. Popular customer-created icons ship to everyone in updates (collected anonymously, opt-in). Icons can pair a company with a second mark and be used as one chip, and anything can be archived and restored.
Companies on top, types on the right
Your company logos sit in a strip above the grid — sticky, so they're always in reach as you scroll the day. Type icons run down the right-hand panel on tablet and desktop, four across, with room for around a hundred on screen. Everything sorts alphabetically, everywhere, always.
Accountability per task
The core purpose of BlockWise: knowing where time actually went, what interrupted it, who interrupted it, and what that cost.
Planned vs actual, block by block
Every block ends the day as completed, overran, changed task, or interrupted. The original plan is immutable — changes on the day are layered events, never overwrites — so the comparison between what you intended and what happened is always honest.
Interruptions with named sources
When something pulls you off a task, log it in two taps against a named source from your People page — a staff member, a customer, or free text. BlockWise flags when a distraction displaced a high-priority task, and raises an accountability flag on repeat offenders (by default: five interruptions in seven days, or three that displaced Tier 1–2 work).
Service & equipment disruptions — loss evidence
Not every interruption is a person. Phone line dead, internet out, power cut, equipment failure — log it against the provider and BlockWise accumulates dated, timed downtime records showing exactly what each failure interfered with. When it's time to negotiate compensation, you bring evidence, not memory: a per-provider disruption report exports in one tap.
The interruption league table
Data Feedback shows who interrupts most, how often, which tasks were displaced and the estimated time cost — over yesterday, the week, the fortnight and the month. Names are private to your account, always.
Smart duration learning — quiet, never nagging
BlockWise compares estimated versus actual minutes per task type and quietly suggests more realistic estimates at planning time. No pop-ups, no guilt. Just better plans.
Automated end-of-day close-out
At end of trade, BlockWise compiles the day for you — statuses, overruns, interruptions, distractions — and you confirm or correct it in seconds. Not a manual ritual. Close-out triggers your analytics and all outbound exports automatically.
A record you can stand behind
Time records are only worth something if they can't be quietly doctored. BlockWise seals your history — automatically.
The seal follows your working day
Everything before the current working day locks automatically — no action needed. Today and the future stay freely editable; the moment you're onto a new day, everything behind it seals on its own. Locked days show a padlock on the calendar.
Passcode edits + append-only audit trail
Genuinely need to correct a sealed day? It takes a deliberate passcode, and every post-lock change is stamped into an append-only audit log — what changed, when. The record reflects what you planned and logged at the time; keeping it truthful after locking is your responsibility, and BlockWise makes tampering visible by design.
Your own padlock, too
A padlock on any day's header locks that date against accidental edits, drags and moves until you unlock it — your own guard while planning around a delicate day. Anchored calendar blocks can be individually unlocked with a tap when you want to plan over them.
Company Logs — the complete story per client
Pick a company and see everything, ever: every task written for it, every block worked with its date, detail, minutes and R&D mark — drawn from live days and sealed history alike. The calendar answers "what did I do that day"; Company Logs answers "what have I ever done for this client". Summary totals up top, timesheet and R&D exports one tap away.
Notes with full history
Notes attach to any block or task and stay reviewable forever — the context that turns a time record into a work record.
Evidence & analytics
Built for anyone who must evidence their time — consultants, accountants' clients, R&D claimants, managers.
R&D Relief — one button under every block
Planning development work? Press the R&D button under the block's time and those minutes register immediately — no waiting for a tick. Totals accumulate per company into a dated, year-long diary of R&D time: date, company, activity, minutes. When claim season comes, the evidence report is one tap.
Provider → client R&D
R&D is often performed by one of your companies for another. BlockWise records the provider alongside the client on every R&D entry, and a dedicated cross-company services export documents the work between the two entities — dates, activities, minutes, totals. Or switch to single-company mode and keep it simple.
Data Feedback — four zooms, one layout
Planned vs actual, the interruption league, and your company time split — for yesterday, the week, the fortnight and the month, in an identical layout at every zoom. At month end the dashboard archives automatically, and you scroll back through the months, bars side by side, watching yourself improve.
Timesheets per company — CSV + PDF
One tap produces a billing-ready timesheet for any company and date range, because your icons booked every block to the right client as you worked. Time logging tallies automatically per company and per task type, with R&D time isolated.
Exports that respect your filing
Every export follows a disciplined, versioned file-naming convention — type, reference, company, detail, date, initials — so your records drop straight into a tidy archive, not a Downloads folder full of "export(3).csv".
Connected to your world
A friendly Connections hub, organised in six groups, with one-tap connect riding your Google sign-in wherever possible.
Calendars that anchor your plan
Google Calendar first — with Outlook and Apple Calendar connecting the same way. Events for the day land on your plan as visually distinct, anchored blocks you plan around, and the external calendar sits side by side with BlockWise's own. All-day events render as a banner; deletions are honoured.
AI agents plan with you — MCP built in First-party
BlockWise ships its own MCP server and public API. Claude (first), ChatGPT, Gemini and others can read your schedule, plan a day, add and reprioritise tasks — fully two-way, respecting locked blocks, templates and your priorities, never touching a closed day. Human edits are instantly visible to agents and vice versa. Keys are scoped and revocable in the hub.
Meetings & notes
Fathom meeting summaries and action items arrive as suggested tasks in an approval inbox — nothing lands without your say. Every closed day exports to Obsidian as clean markdown. Zoom, Teams, Google Meet, Fireflies, Loom and Notion sit in the same group.
Team reporting — outbound, automatic
If the boss wants every manager posting their day, BlockWise does it for them: your close-out can auto-post to Slack, monday.com, Zoho or Teams the moment the day seals. Reporting flows out; your plan stays yours.
Money, files & automation
Xero, QuickBooks and Excel for the numbers; Google Drive and Dropbox for files; n8n, Zapier, Make and signed webhooks for everything else. On close-out, a compact structured summary can flow to your AI memory — Claude memory, ChatGPT, Codex — so your assistant knows how your days actually go.
Everywhere you are, however you write
Phone, tablet, computer, web — one account, one live system. And you choose how words go in: tap, type, speak, or handwrite.
Multi-device, near-real-time
Edit on your phone in the yard; it's on the desktop before you're back at the desk. One dataset everywhere, syncing in about a second while online.
Fully offline
No signal, no problem: BlockWise is local-first and completely usable offline. Reconnect and everything merges automatically, conflicts resolved sensibly.
Voice, pen, or keyboard — your choice, every field
Dictate tasks and notes anywhere. Handwrite with Apple Pencil or an Android stylus and watch it become searchable text. Typing is always there as the baseline. A later update preserves your actual ink, exactly as written, with a recognised-text shadow.
Every language, first-open choice
The very first screen asks your language, before anything else. Full internationalisation is built in from day one — locale-aware dates and numbers, right-to-left support, and a growing set of translations with human review on priority languages.
The accessibility pack
Dyslexia-friendly font toggle, adjustable text size, high-contrast mode — WCAG 2.2 AA as the floor, not the ceiling. Generous layout everywhere: big blocks, big icons, room for real detail. Sign-in itself is dyslexia-friendly: Google sign-in or an email magic link — no passwords to spell.
The Buttons Guide — a manual that can't go stale
A complete in-app guide explains every icon, button and feature in short, plain, dyslexia-friendly sentences — generated from the app's own icon library and control glossary, so it's always current. Includes "A day in BlockWise", the working rhythm from open to end-of-trade seal.
